Job Summary
**Tradia Charcoal Trading \& Business Services Chile SpA** is seeking an organized, detail-oriented, and proactive ***Export Operations Assistant*** to join our team in Temuco. As an Export Operations Assistant, you will provide daily administrative and operational support for export shipments, international logistics, freight coordination, shipping documentation, order tracking, and communication with logistics providers. You will work closely with export operations, logistics, suppliers, freight forwarders, carriers, warehouses, customers, and administration teams to ensure export orders and documentation are processed accurately and on time. This position is ideal for entry-level candidates or those with limited work experience who are interested in international trade, exports, logistics, cargo transportation, supply chain, or commercial operations.
Responsibilities:
- Support daily export and international logistics operations.
- Support processing and coordination of export orders.
- Maintain accurate records of exports and shipments.
- Monitor international shipments and provide status updates.
- Support freight booking and transportation arrangements.
- Coordinate routine requirements with freight forwarders and carriers.
- Support coordination with shipping lines, airlines, and land transportation providers, as applicable.
- Assist in preparing and reviewing commercial invoices.
- Prepare or verify packing lists and supporting documentation.
- Assist with knowledge of bills of lading (B/L) and air waybills (AWB), as applicable.
- Support preparation of certificates and other approved export documents.
- Verify that shipment information is complete and accurate.
- Maintain export document files and digital records.
- Update shipment information in ERP, logistics, or enterprise management systems.
- Maintain shipment and export records in Excel.
- Monitor estimated departure and arrival dates.
- Track delayed or pending shipments.
- Assist in tracking container and cargo status.
- Coordinate routine requests with warehouses and transportation providers.
- Support communication with customs agencies and customs brokers.
- Assist with documentation required for customs procedures and refer specialized customs matters to qualified personnel.
- Support delivery confirmation and shipment completion documentation.
- Assist with export billing and supporting commercial records.
- Coordinate routine customer inquiries regarding shipment status.
- Identify missing or inconsistent documentation.
- Escalate significant issues related to shipments, customs, or documentation appropriately.
- Assist in reconciling freight costs and logistics documents.
- Prepare basic export and operations reports.
- Support tracking of key export performance indicators (KPIs) and shipment performance.
- Participate in improving international trade and logistics processes.
Requirements:
- Completed secondary education or equivalent qualification.
- Technical or professional training in International Trade, Logistics, International Business, Business Administration, Supply Chain, or a related field is highly desirable.
- Prior experience in exports, logistics, freight transportation, administration, or international trade is beneficial but not mandatory.
- Approximately 0–1 year of relevant experience is required.
- Recent graduates in International Business, Logistics, Administration, or related programs are strongly encouraged to apply.
- Strong organizational and administrative skills.
- Excellent attention to detail.
- Basic to intermediate proficiency in Microsoft Excel.
- Familiarity with Word, Outlook, or Microsoft 365\.
- Comfortable entering data and maintaining spreadsheets.
- Basic knowledge of import/export or logistics processes is a plus.
- Basic knowledge of commercial invoices and packing lists is a plus.
- Basic understanding of B/L, AWB, Incoterms, or other international transportation concepts is advantageous but not required.
- Familiarity with ERP, TMS, or logistics systems is a plus.
- English proficiency is advantageous when reviewing international documents or communicating with overseas parties.
- Strong oral and written communication skills.
- Excellent follow-up and time management abilities.
- Ability to manage multiple shipments and deadlines simultaneously.
- Strong problem-solving skills.
- Ability to identify discrepancies in documentation.
- Ability to recognize issues requiring escalation.
- Willingness to learn export procedures and international logistics systems.
