We seek someone who organizes, executes, and performs real follow-up. **Conditions** * Initial fixed-term contract, with potential for extension based on performance. * In-person working schedule from Monday to Friday. * Opportunity to join a growing company with direct involvement in administrative, operational, and dispatch tasks. **Position Objective** We seek an **Operations, Administration, and Dispatch Assistant** to support the company’s daily operations, ensuring document organization, administrative coordination, operational follow-up, and delivery support when required by operations. This position is critical to maintaining continuity, control, and traceability within a dynamic company, requiring an organized, responsible individual with genuine execution capability. **Responsibilities — Operations, Dispatch, Billing, and Follow-up** * Update inventories, operational records, and databases in Google Sheets and/or internal systems. * Coordinate orders and dispatches daily with the warehouse. * **Support the issuance and review of tax-related documents associated with orders, such as invoices, receipts, shipping guides, and credit notes, as applicable.** * **Prepare necessary information for billing and order documentation in the company’s internal system.** * Track deliveries and maintain an up-to-date record of each order’s status. * Perform order deliveries within Santiago when required by operations. * Drive company vehicles to support dispatches, errands, or other operational activities. **HR Administrative Support** * Post job advertisements on various platforms. * Conduct initial resume screening and coordinate interviews. * Support the onboarding checklist for new employees: documents, signatures, internal registrations, and follow-up. * Assist with administrative tasks related to hiring, onboarding, and personnel management. **Operations, Dispatch, and Follow-up** * Update inventories, operational records, and databases in Google Sheets and/or internal systems. * Coordinate daily dispatches with the warehouse and track deliveries. * Perform order deliveries within Santiago when required by operations. * Drive company vehicles to support dispatches, errands, or other operational activities. * Maintain basic control and traceability of relevant operational information. * Follow up on pending administrative and operational tasks, ensuring timely completion. **Requirements** * Minimum **3 years of experience** in administrative, operational, logistics, coordination, or similar roles. * Valid Class B driver’s license. * Experience driving in Santiago. * Availability to perform deliveries, errands, and field-based operational activities. * Experience or basic knowledge of billing, issuing shipping guides, receipts, and/or tax-related documents. * Intermediate proficiency in **Microsoft Office**: Excel, Word, PowerPoint, and Outlook. * Proficiency in **Google Workspace** tools: Google Sheets, Drive, Gmail, Calendar, and Forms. * Strong organizational skills, document control, and follow-up capabilities. * Basic knowledge of administration, expense reporting, and expense documentation. * Relevant technical or university education. **Preferred Qualifications** * Prior experience in operations, administration, logistics, warehouse, or mass-consumption companies. * Experience performing dispatches or coordinating deliveries. * Personal vehicle. * Ability to work in a dynamic environment with multiple priorities. * Proactivity, autonomy, and a sense of urgency. * Sound judgment to raise alerts, organize information, and follow up on pending items.
