Our **Premium Automotive** team is seeking an **Aftersales Administrative Analyst** to join Inchcape **Chile**. The purpose of this role is to provide cross-functional support to Porsche Aftersales operations, with a primary focus on processing, controlling, and continuously improving factory (OEM) warranty processes—ensuring every claim fully complies with policies, procedures, timelines, documentation, and standards defined by Porsche AG and Inchcape. This role safeguards information traceability and quality, prevents rejections, debits, and financial losses, prepares audit evidence, monitors management KPIs, and coordinates corrective actions with relevant departments. Additionally, the role is responsible for maintaining 100% compliance with mandatory factory and internal Inchcape training courses assigned to the position, promoting continuous knowledge updates and correct application of brand standards.
**What You’ll Do**
* Process, review, and control Porsche warranty claims prior to submission to the factory, verifying eligibility, coverage, coding, timing, parts, labor, technical documentation, and compliance with current OEM policies.
* Conduct comprehensive quality reviews of each warranty claim, ensuring completeness and consistency of repair orders, diagnostics, photographs, protocols, measurements, authorizations, supporting documents, and other evidence required by Porsche.
* Manage and track the full warranty lifecycle—from case opening through approval, payment, and closure—monitoring status, deadlines, rejections, returns, requests for additional information, and pending actions.
* Analyze warranty claims rejected, debited, or flagged by the factory; identify root causes; and coordinate corrective and preventive action plans with advisors, technicians, workshop managers, parts, and administration to prevent recurrence.
* Monitor key warranty KPIs—including approval rate, rejection rate, debit rate, case aging, processing time, financial recovery, error recurrence, and documentation compliance—generating periodic reports for Aftersales Management.
* Keep warranty procedures, instructions, control matrices, and checklists updated per the latest policies, campaigns, technical bulletins, guidelines, and communications issued by Porsche AG and Inchcape.
* Prepare and maintain required evidence for warranty audits, RSAP, Service Excellence, RPTK, or other internal or factory reviews—performing proactive gap scans and tracking remediation until closure.
* Coordinate with Aftersales teams on proper retention, identification, storage, traceability, and disposition of warranty-replaced parts, in accordance with factory-defined timelines and standards.
* Support technical case management, critical customer cases, special requests, goodwill cases, and escalations to the factory—consolidating complete, consistent, and timely background information for evaluation.
* Ensure 100% completion of mandatory Porsche factory training and assigned internal Inchcape training courses—tracking expirations, completion status, supporting evidence, and continuous knowledge updates.
* Conduct monthly tracking of VDM indicators and other brand-relevant incentives or programs, preparing compliance matrices, supporting documentation, and background information for management and subsequent calculation.
* Review OEM systems and platforms—including RPTK and any newly introduced tools—on a weekly basis, requesting and validating necessary evidence to substantiate proper brand management.
* Develop and maintain Aftersales and workshop management reports—including invoicing, WIP, scheduling, vehicles awaiting parts, efficiency, productivity, utilization, retention, TAT, RMPV, CES, and other KPIs defined by Management.
* Support Aftersales platforms and processes such as ClearMechanic, CES survey databases, variable compensation, accessories, merchandising, and courtesy vehicle renewals—ensuring data quality and timeliness.
* Promptly identify deviations, risks, non-compliances, or system failures; assign ownership; request management evidence; and follow up until solution implementation and validation.
* Perform other duties related to the role and support continuous improvement initiatives, internal controls, customer experience, operational efficiency, and adherence to Porsche and Inchcape standards.
**About You**
To succeed in this role, you will have:
