Position Summary:
This position supports the Facilities Manager by ensuring timely maintenance of Church facilities through established processes and providing administrative support.

Properties Department
This position helps provide and maintain facilities that offer Church members places to worship, teach, learn, pray together, make and renew covenants, and receive sacred ordinances. Every Church facility that is constructed and/or maintained must:
* Provide a spiritual environment for member worship.
* Project an image of reverence and dignity within the community.
This position assists the Facilities Manager in ensuring timely facility maintenance through the use of established maintenance, repair, and replacement processes and standards, as well as providing administrative support to the Facilities Management team. This is a senior-level support position performed as an individual contributor.

* Prepares purchase requisitions.
* Receives invoices and reconciles them with purchase orders, ensuring accuracy and completeness.
* Ensures compliance with established controls.
* Reviews billed items to verify they have appropriate approvals per defined processes.
* Prepares payment uploads.
* Prepares financial reports.
* Reviews corporate purchasing card statements.
* Tracks all materials and services to ensure they have been received or performed.
* Maintains records of pending orders.
* Manages Finance and Human Resources files.
* Complies with federal tax-related requirements and information.
* Under the direction of the Facilities Manager, maintains frequent communication with vendors and contractors.
* Collaborates on establishing and registering new vendors.
* May prepare contracts and verify insurance documentation.

* Maintains computerized databases, including:

+ Purchase Orders
+ Work Orders
+ Preventive Maintenance Schedules
+ Employee and Facility Records

* Performs administrative and secretarial tasks, such as:
+ Drafting correspondence and reports.
+ Preparing meeting minutes upon request.
+ Entering data into computer systems.
+ Managing and filing documentation.
+ Answering telephone calls.
+ Managing incoming and outgoing correspondence.
+ Creating work orders.
+ Processing requisitions and purchase orders.
+ Participating in required training.

* Compiles, generates, and sends (electronically or via mail) various reports to Headquarters (HQ) or Stake leaders.

* Manages office operations, including:
+ Equipment operation.
+ Supply control.
+ Management and filing of documentation.
+ Management of telephone messages.
+ Other related administrative tasks.
* Two years of postsecondary education (beyond high school).
* Five years of diverse administrative/clerical experience or equivalent experience demonstrating the following competencies:
**Required Knowledge and Skills:**
* Proficiency with computer tools, including Windows, Microsoft Office applications, and ability to learn other software as needed.
* Communication skills, including professional telephone etiquette and effective business writing.
* Basic knowledge of business accounting, including understanding of invoices, purchase orders, and contracts.
* Organizational skills, including document filing, scheduling, time management, and prioritization.
* Ability to communicate effectively and courteously with all types of people, including priesthood leaders, managers, coworkers, and vendors.
