A Junior Assistant is an early-career professional who provides essential administrative, operational, or technical support for the daily functioning of a department or organization. This is a generalist and learning-oriented role that combines support tasks in document management, communication, and coordination with more specific responsibilities depending on the sector (e.g., administration, sales, projects, general services, etc.).
**Key Responsibilities**
Responsibilities are typically diverse and adaptable to organizational needs, including:
* **Administrative Support and Document Management:** Assist with day-to-day office tasks: scheduling appointments, coordinating meetings, managing correspondence (emails, memos), classifying and archiving physical and digital documents, and maintaining up-to-date records.
* **Customer Service and Communication:** Answer telephone calls, respond to customer or supplier inquiries, draft official communications, and serve as a liaison between different departments or external personnel.
* **Report and Data Preparation:** Support the preparation of presentations, reports, and databases, as well as data entry and updates in information systems (ERPs, Excel, Google Workspace).
* **Support for Specific Processes:** Depending on the department, may assist with procurement processes, asset management, personnel selection, innovation projects, or legal and notarial support.
**Candidate Profile and Requirements**
The Junior Assistant profile emphasizes proactive attitude, willingness to learn, and strong organizational skills. Common requirements include:
* **Education:** Currently pursuing or completed undergraduate studies in Administration, Industrial Engineering, Business, Management, Accounting, Secretarial Studies, or related fields.
* **Experience:** Prior experience is generally not required, or a minimum of 6 months to 1 year in similar roles is expected. Professional internships or participation in university projects are valued.
* **Technical Competencies:**
* Proficient user-level knowledge of **Microsoft Office (Word, Excel, PowerPoint)** or **Google Workspace**.
* Strong written and oral communication and composition skills.
* Basic knowledge of data handling and internet usage.
* **Soft Skills:** Proactivity, organizational and time-management abilities, attention to detail, responsibility, teamwork capability, and adaptability
