Job Summary
**Triuspa Healthcare \& Technology Services Chile SpA** is seeking an organized, empathetic, and customer-oriented ***Appointment Scheduling Assistant*** to join our team in Talca. As an Appointment Scheduling Assistant, you will provide frontline administrative and scheduling support to patients and service users. You will assist with appointment booking, confirmation, rescheduling, and cancellation; respond to telephone and digital inquiries; maintain accurate scheduling records; update patient or customer information; and coordinate routine appointment requirements with internal teams. You will work closely with patient services, healthcare administration, customer service, scheduling, technical support, and operations teams to ensure appointments and administrative consultations are managed accurately and professionally. This is a non-clinical position. The Appointment Scheduling Assistant will not diagnose conditions, provide medical advice, recommend treatments, interpret clinical results, or independently perform regulated healthcare activities. This position is suitable for recent graduates and candidates early in their professional careers who are interested in healthcare administration, patient services, appointment management, medical reception, contact center operations, customer service, or health technology.
What You’ll Do
Respond professionally to appointment-related inquiries.
Assist customers or patients via telephone, email, messaging, and authorized digital channels.
Schedule appointments using authorized systems.
Confirm scheduled appointments.
Reschedule appointments upon request.
Process appointment cancellations according to established procedures.
Maintain up-to-date appointment calendars.
Verify appointment availability.
Provide authorized information regarding appointment availability.
Provide routine information about service locations and hours.
Assist with patient or service user registration.
Verify that administrative information is complete.
Update contact and administrative information.
Accurately record appointment-related interactions.
Maintain customer or patient records in authorized systems.
Monitor pending appointment requests.
Follow up on incomplete scheduling requests.
Send or coordinate authorized appointment reminders.
Help reduce missed appointments through confirmation processes.
Monitor shared scheduling inboxes and queues.
Assist customers with basic navigation of the online booking platform.
Support routine appointment changes.
Coordinate scheduling requirements with internal departments.
Refer clinical questions to qualified healthcare personnel.
Escalate urgent, complex, or sensitive inquiries per established procedures.
Handle routine customer complaints.
Maintain accurate case records.
Support waitlist management for appointments, where applicable.
Support tracking of appointment volume.
Maintain administrative records in Excel or Google Sheets.
Prepare basic scheduling and customer service reports.
Support monitoring of key performance indicators (KPIs) for the appointment service.
Support customer feedback activities.
Maintain confidentiality of patient and customer information.
Follow privacy, data security, and customer verification procedures.
Support continuous improvement of scheduling and patient service processes.
Requirements
Completed secondary education or equivalent qualification.
Technical or professional studies in Healthcare Administration, Business Administration, Customer Service, Medical Secretarial Studies, Health Services, Office Administration, or related fields are considered advantageous.
Approximately 0\-1 year of relevant experience.
Prior work experience in the healthcare sector is not mandatory.
Recent graduates and professionals entering the labor market are encouraged to apply.
