Job Summary We are seeking an organized, meticulous, and responsible **Contract Administration Assistant** to provide support for contractual documentation and daily administrative activities in Viña del Mar. This is an excellent opportunity for individuals interested in contract administration, business administration, document control, procurement support, commercial operations, or office administration. You will help organize contractual records, track key dates and documentation, maintain accurate information, prepare administrative reports, and coordinate contract-related requests with internal teams. We value academic training, professional internships, administrative experience, document management experience, customer service experience, or other relevant transferable skills. Extensive prior experience in contract administration is not required. Responsibilities Provide daily administrative support for contract-related activities. Assist in preparing, organizing, and maintaining contractual documentation. Enter and update contractual information in spreadsheets, databases, and internal systems. Maintain accurate electronic and physical contractual records. Assist in tracking contract dates, renewals, documentation requirements, and standard deadlines. Monitor pending contractual documentation and follow up with respective teams. Assist in collecting necessary supporting information and documents. Collaborate in reviewing documents to verify their integrity and administrative accuracy. Organize contracts, amendments, correspondence, approvals, and supporting records. Maintain document naming conventions, filing practices, and version control. Collaborate in preparing routine contractual summaries, reports, and spreadsheets. Support authorized workflows for contract signing and approval. Assist in coordinating contractual information across internal departments. Support supplier, client, or service provider documentation as needed. Support basic documentation for purchase orders, invoices, and procurement activities where applicable. Monitor shared email inboxes and appropriately route contract-related requests. Collaborate in maintaining administrative records for suppliers and clients. Assist in preparing documentation for internal reviews and audits. Follow up on missing, incomplete, or pending documentation. Collaborate on data entry and verification of contractual information. Support contract administrators, operations teams, and other business functions with routine requests. Maintain appropriate confidentiality when handling business and commercial information. Follow established procedures for document control, data protection, approvals, and company policies. Requirements Interest in contract administration, business administration, document control, procurement, or commercial operations. Proficient use of computers, email, spreadsheets, and common software applications. Basic knowledge of Microsoft Word and Excel or similar productivity software. Strong organizational skills and attention to detail. Good oral and written communication skills. Comfort working with documents, records, and structured information. Ability to maintain accurate and confidential information. Basic numerical and problem-solving skills. Willingness to learn contractual processes, systems, and terminology. Ability to follow established procedures and instructions. Capacity to manage multiple routine tasks and deadlines. Ability to work independently and collaboratively. Relevant studies in administration, business, accounting, law, procurement, commerce, or a related field are beneficial but not mandatory. Prior experience in administration, document control, procurement support, customer service, or office operations is valued but not required.
